ZOOM Meeting HowTo

During the time our regular ANRL meetings are cancelled due to the Coronavirus crisis, we’re planning to try hold “virtual” ANRL meetings using teleconferencing software.

Read the following information to learn what you need to join in the meetings.

WHAT YOU NEED

To join in the meetings, you will need:

  • A fairly recent-vintage, up-to-date Mac, iPhone, iPad, Windows PC, Android phone or Windows tablet computer.
  • A solid internet connection, either Wi-Fi or hardwired. The connection speed should be at least 10Mbps. Most home internet providers support speeds above 10Mbps; most hotels and public Wi-Fi hotspots will not.
  • Optional: a set of AirPods, earbuds or headphones so you can listen privately.

Make sure you have the latest version of your device operating system software. See this article for instructions on updating your Mac. See this article for instructions on updating your iPhone or iPad. 

INSTALLING THE ZOOM SOFTWARE

We will be using the Zoom teleconferencing system from Zoom Video Communications, Inc. for the meeting. You need to download and install the Zoom software (free) for your device before joining the meeting.

TO DOWNLOAD AND INSTALL THE ZOOM APP ON MAC OR WINDOWS COMPUTERS:

  1. Download the Zoom app for Mac or Windows by clicking here
  2. Finish installation by following this support article on the Zoom website for detailed instructions.
  3. Test your installation by joining a test conference by clicking here

TO INSTALL THE ZOOM APP for iPhone, iPad, Android or Windows Tablet:

  1. Open the App Store / Google Play Store on your device
  2. Search for Zoom Cloud Meetings. It has a blue “video camera” logo, and is published by Zoom.
  3. Install the app.
  4. Open the app.
  5. Create a Zoom account if you don’t already have one. Use your email address and a STRONG password (and keep it stored safely in 1Password or another password manager).
  6. Sign in to the Zoom app. Now you’re ready to join a meeting!
  7. Test your installation by joining a test conference by clicking here

GET READY FOR THE MEETING

  1. Watch for the meeting notice from ANRL which will be sent a few days before the meeting.
  2. In the meeting announcement, you will find some important information:
    1. The date and time of the meeting.
    2. The MEETING ID. The Meeting ID will be shown as a number like this: 789–234–2021. You’ll need the Meeting ID to join our meeting.
    3. The MEETING PASSWORD. We will secure our meetings with a unique password, which will change for each meeting. 
  3. A few minutes before the meeting, open the Zoom app on your device. 1. On iPhone and iPad, tap “Join,” then enter the Meeting ID and password listed in the email.  2. On Mac / Windows, click “Join,” then enter the Meeting ID and password listed in the email.
  4. Follow the on-screen prompts to test and enable audio and video on your device.
  5. You will not need any video capability for our meetings, unless you are going to be one of our scheduled presenters. If you want to be seen by others, then enable video.
  6. Be sure to select “Join with computer audio” when prompted.
